Volunteer Job Descriptions

SETUP AND BREAKDOWN (Home Meets):  For home meets, the Setup volunteers will arrive 2 hours before meet start help prepare the pool area.  Home meet setup includes setting up ready area tents, setting up ready bench chairs behind the blocks, roping off the pool deck, moving tables and chairs, setting up backstroke flags... etc.  After the meet concludes, the volunteer assists the team management and coaches to make sure all equipment is taken down and put away and the pool area is cleaned. Some heavy lifting is required for this position.

READY AREA (Home & Away Meets): The Ready Area Parents will supervise the waiting area for a particular age group during meets, keeps track of swimmers - as best as they reasonably can - between events, and gets swimmers to the ready bench on time with caps and goggles. We usually divide age groups up by gender for 5-6, 7-8 and 9-10 age groups. This position is obviously more important for the younger swimmers, and the ready area parents for the youngest ages (6 & under and 7-8 and 9-10) are especially critical to the timely start of the meet. This job keeps you with your swimmer during the whole meet.

STROKE & TURN JUDGE (Home & Away Meets):  The Stroke and Turn Judge volunteers determine whether the technical aspects of the swimmers strokes are legal. It requires knowledge of the USA Swimming Rules and Regulations, and a willingness to fairly disqualify swimmers from both teams when appropriate. The positions require attendance of a training session provided by Lone Star Summer Swim League, and will be filled prior to registration. Special attire is required for this position (navy blue shorts with a white shirt). If you are interested, please contact the volunteer coordinator for more information.

CONCESSIONS (Home Meets): The Concession stand volunteer will work with the Concessions Chair to help set up, sell and clean up the concession stand at the home meets. 

AWARD RIBBONS (Home and Away Meets): This volunteer will take the labels produced by the Hy-Tek volunteer and affix them to the ribbons. The ribbons are then placed in piles and alphabetized by swimmers. The coaches will distribute the ribbons at the next practice. You will need to be able to stay through the end of meet to receive award ribbons for the entire team. This is a whole meet position but the majority of the duties will occur in the second half.

HEAD TIMER (Home Meets): The Head Timer will make sure that all lanes have the correct number of timers at home meets, hand out stopwatches and that all timers have working stopwatches. During the meets, the Head Timer will make sure the timers know how to time and know how to record the swimmers time correctly. The Head Timer will run two extra stopwatches as back up for stopwatch failure.

LANE TIMER (Home and Away Meets): If you like to be close to the action, this job is for you. When the Meet Official sounds the starting tone, the timers start the stopwatches. When the swimmer touches the side of the pool, they stop the stopwatches and record the swimmers time. There will be three timers per lane.

HEAT RIBBONS (Home and Away Meets): The volunteer will hand out heat ribbons to each swimmer after each heat/race.

SCORE TABLE - DECK RUNNER: The Deck Runner retrieves the time sheets from the timers as they complete the sheet and turns the sheet into the Hy-Tek Operator. This volunteer also picks up the DQ slips from the Stroke and Turn Judges after each heat and takes the slips to the Scorer. It is a good idea to wear comfortable shoes since this job requires a lot of walking.

SCORER- HY-TEK COMPUTER OPERATOR (Home and Away): The Hy-Tek operator receives the time sheets from the Deck Runners. Then, they pick the middle of the three times to be the official time and that time is circled for recording. If there are only two times, the two are averaged. Time sheets are then passed to Data Entry. With this job, you see the race results before anyone else.
